In the summer of 2017, we faced a challenge that every growing global organization eventually meets: brand fragmentation. Our visual assets were scattered, "Hero Images" were difficult to gate, and the Brand & Design team was spending more time fulfilling manual file requests than actually designing. We realised that for The Smart Cube to speak with one voice, we didn't just need a style guide, we needed a powerhouse.

One platform. One brand. One source of truth.
The Seed: August 2017
It started with a simple deck and a bold vision for the KMS (Knowledge Management System) Image Gallery. The goal was clear: create a Google-like search experience for our internal world. We envisioned a system that could distinguish between high-value "Hero" assets and everyday brand images, integrated seamlessly with Windows credentials so that every employee, from London to Noida, had exactly what they needed at their fingertips.
The Blueprint: Precision in Every Pixel
By 2019, the vision expanded from simple images to a comprehensive ecosystem. We released the Icon Creation Guidelines, a meticulous framework that turned "designing an icon" into a disciplined science. We weren't just making pretty pictures; we were building a library of Tier 1, 2, and 3 icons, complete with "Shape Shift" rules and specific color variants for black, grey, and white backgrounds. We treated every asset, be it an .eps, .emf, or .png. As a critical component of our brand DNA. The back-end structure was built to handle metadata, tags, and dimensions, ensuring that when a user hovered over an image, the system didn't just show a thumbnail; it showed possibilities.
The Evolution: A Central Nervous System
Fast forward to 2024, and the KMS has evolved far beyond a gallery. It is now the central point for Brand Governance. The screenshots of our current interface reveal a sophisticated, intuitive platform.

Search meets Intelligence: Users search for "Sustainability" or "Automation," and the KMS serves up curated, on-brand imagery instantly.

Data-Driven Design: We don't guess what the organization needs. Our analytics (capturing over 3,000 monthly searches) tell us that "Description" and "Final User" are our most-downloaded assets. We use "Result Not Found" logs to identify gaps in our library, turning missing keywords like "Duty-free" or "Sustainabality" into our next design sprints.

Seamless Governance: The admin back-end allows for bulk uploads and access segregation, ensuring that the Brand & Design team remains the ultimate custodian of the organisation's visual integrity.
From Gallery to Governance
What began as an "Image Gallery" project in 2017 had become the backbone of how The Smart Cube presents itself to the world in 2024. We’ve moved from manual file sharing to a self-service, high-fidelity engine.
